Your Booking

A date may be held provisionally for a wedding for up to 14 days without a deposit, after which time it is at the Hotel’s discretion to release the date. To confirm the booking a deposit of £1000.00 is required.

The booking is not deemed to have been accepted by the Hotel until a formal letter of confirmation is issued to the Couple, following receipt of the signed terms and conditions and deposit payment.

Payment Schedule and Final Numbers

Following the initial deposit to secure the booking, half of the balance (based on anticipated numbers at that point) is to be settled no later than 6 months prior to the date of the event, with the remaining balance (based on final confirmed numbers) to be settled no later than 1 month prior to the event. Incidentals such as bar drinks and food you charge to your room during your stay will be added to your master account.

The final numbers of guests attending are required no later than 1 month prior to the event date and this will be the minimum numbers that are charged for. Should you decrease numbers on the day of your event, the original confirmed numbers will apply. Any increase in your numbers of guests will be charged accordingly and added to your master account. Please note that the Hotel may not be able to accommodate an increase in numbers.

Cancellation Policy

The following charges are applicable in the event of a cancellation of a confirmed booking:

- 6 months or more prior to arrival: £1,000.00 plus forfeiture of the deposit
- 3 months to 6 months prior to arrival: 50% of the total balance
- less than 3 months prior to arrival: 100% of the total balance


Force Majeure

In the event of an occurrence of a Force Majeure event (as defined below) beyond our control the Hotel shall not be responsible or liable for any loss or damage of any kind resulting to the Couple, their guests, invitees, agents or employees from the occurrence of such Force Majeure. In the event such an occurrence dictates that the event impossible to take place, the Hotel agrees to reschedule the event at a mutually convenient date and time and any prepayments and reservation fees shall be applied to the bill for the rescheduled event without penalty. In the instance that the event is unable to be rescheduled, all deposit monies will be refunded to the Couple. For purposes of this agreement, a Force Majeure event shall include, without limitation, acts of God, natural disaster (fires, hurricanes, earthquakes and floods), war, riot, or any other similar event beyond the control of such party.

Accommodation

It is a requirement that a minimum of 20 bedrooms are taken on the night of the exclusive use. You will be required to provide the guest list for the bedrooms – they will not be sold on a freesale basis by the Hotel. The bedroom allocation must be provided to the Hotel no later than one month prior to arrival.

Bedrooms are available to occupy from 3.00pm on the day of arrival, and they are to be vacated by 11.00am on the day of departure.

While it is expected that your guests will be responsible for settling the accounts for their own rooms, in the event any guests depart without clearing their final bill, you agree to incorporate any outstanding amounts onto your final master account.

The Hotel will provisionally hold the bedrooms for you for the night prior to your event. Any rooms not allocated for that night at a point 1 month prior to arrival will be released automatically and will then be available to be booked for that night.

Food & Beverage

Details of any dietary requirements must be notified to the Hotel when the final numbers are confirmed. For guests with specific allergies and intolerances, we are happy to work around these and provide suitable alternative dishes as required. It should be noted that whilst we will endeavour to ensure no cross contamination occurs in food preparation areas, it cannot be absolutely guaranteed that certain allergens are not present.

Where it has been agreed in advance that the Couple are supplying their own wine for the event, corkage is applicable on bottled wine and will be charged at the following rates:

£15.00 per bottle for wine
£20.00 per bottle for prosecco
£30.00 per bottle for champagne

Other than this exception above, only food and beverage supplied by the Hotel (with the exception of wedding cake) may be consumed on the premises. It is with regret we have had to introduce the policy of an automatic charge of up to £1,000.00 to be added to your master account in the event that wedding guests (resident or non-resident) are found to have consumed alcohol not purchased from the Hotel, or that has not been subject to corkage as outlined above.

Vehicles and Personal Property

Ample parking is available on site at the Hotel. The Hotel will try wherever possible to assist guests with the storage of equipment, personal property, wedding cakes etc, however you agree that the Hotel shall not be held liable for any loss or damage caused to personal property or vehicles on site. We strongly advise the client to arrange adequate insurance.

The Hotel will not be responsible for the assembly of the cake as this is an extra service.

Damage to Hotel Property

Any damage to Hotel property, including building fabric, soft furnishings and fixtures and fittings must be paid for. The cost of repairs/replacements required to rectify good any damage caused will be invoiced to you afterwards.

Fireworks

It is Hotel policy that fireworks and Chinese lanterns (including the biodegradable variety) are NOT permitted.

Behaviour

Under no circumstances will any staff be subjected to any form of abuse, verbal or physical, from any guest. The Hotel reserves the right to remove any guest, resident or otherwise, from the premises if their behaviour is deemed to be abusive or threatening, or is having a detrimental effect on the enjoyment of others. The Hotel reserves the right, if deemed necessary, to terminate the event.

Smoking

In line with current legislation, smoking is not permitted anywhere in the Hotel. This includes the use of e-cigarettes.

If, upon inspection by Housekeeping, for any bedrooms have been smoked in and cannot be let as a result, the room rate for the affected night will be added to your master account.
